Privacy Policy

Anthill is the service available at joinanthill.com that connects your AI assistant (ChatGPT, Claude...) to a real management system (ERP) for your business. This policy explains what data we process, what we use it for and what control you have over it. Questions: t@joinanthill.com.

What data we process

  • Account data: your name, email and password (stored hashed, never in plain text).
  • Your company profile: name, country, tax configuration, logo and document styling.
  • Business data you record by chatting: customers, suppliers, quotes, invoices, payments, expenses and stock. It lives in your company's dedicated ERP instance.
  • Memories: the facts you explicitly ask Anthill to remember.
  • Optional connections: if you connect your Gmail inbox we store the OAuth access tokens; if you connect Telegram, your chat identifier.
  • Activity log: every operation your assistant runs is audited (which tool, with which data and when), for security and support.
  • Technical data: server logs (IP, timestamps, errors) needed to operate the service.

What we use it for

  • Providing the service: running the operations you request and keeping your company's documents in your ERP.
  • Security: authentication, abuse prevention and a trace of every operation.
  • Support: diagnosing and fixing problems when you write to us.

What we never do with your data

  • We don't sell or rent your data.
  • We don't show ads.
  • We don't train AI models on your data.
  • We never send email from your inbox: Gmail access is read-only and only when you ask.

Your AI assistant

The conversation doesn't happen in Anthill: it happens with your AI provider (for example OpenAI or Anthropic), under their own terms and privacy policy. Anthill only receives the specific instructions (tool calls) your assistant decides to send, and returns the results.

If you enable automations that wake Anthill's own agent, that run is processed with our AI model provider (Anthropic) using the data needed to complete the task.

Who we share data with

Never for commercial purposes. It is only processed by the providers needed to operate the service:

  • Server and database hosting in the European Union.
  • Cloudflare (DNS and delivery network).
  • Vercel (this website).
  • Google (Gmail API), only if you connect your inbox.
  • Telegram, only if you connect notifications.
  • Anthropic (AI models), only for proactive automations.

How long we keep your data

For as long as your account is active. If you close your account or ask us to, we delete your instance and your data within 30 days at most, except the minimum we must keep for security or legal obligations (time-limited logs).

Your accounting records may be subject to retention periods that apply to your own business: export them before closing your account.

Your rights and controls

  • Access, correct, export or delete your data: write to t@joinanthill.com.
  • Disconnect Gmail or Telegram at any time from the Connections page.
  • If you are in the EU, you also have your GDPR rights, including lodging a complaint with your supervisory authority.

Security

All traffic is encrypted (HTTPS), passwords are stored hashed, each company lives in its own isolated instance and every operation is recorded in an audit log.

Changes to this policy

If we change this policy we will publish the new version here with its date. Relevant changes will be announced in the service itself.
